Virtual Bookbag Donations

The book bag is a free perk for our members. We accept donated books from members and non-members. It’s a great way to let attendees know about your work and helps writers and publishers receive more attention.

Free book bags and tables have been a long tradition for conventions, and this year we are extending this to digital books, which will be especially valued by online members and people with limited luggage space.

If you are donating, please keep in mind the following terms:

• You must have the rights to the title or be authorised to do this by the person or organisation (e.g. publisher) that does.
• You will receive no payment or recompense for doing so; there is no offer of reviews, publicity or award nominations for this.
• After a book has been downloaded by a member, World Fantasy 2025 and its committee have no control over what may happen to it next.
• While providing the ebooks to our members does not indicate our endorsement of the content, we reserve the right to choose not to supply this to our members or to withdraw the works from our website for any reason. Sending works which could break UK law (e.g. hate speech, defamation, etc.) is likely to be treated as a breach of our code of conduct.
• Please do not send us writing or artwork produced using generative AI. Doing so without letting us know will be treated as a code of conduct issue. We want to support human creativity.

How to donate

We require the book donation to be in a .zip file of no more than 2mb. You can use the form as many times as you need. If you are having difficulties uploading the zip, you may use the email: bookbag “at” WorldFantasy2025 “dot” co “dot” uk. Replace the words in quotations with the usual symbols.

What to put in your donation file

Inside the .zip file, please include the following:

The book files:
We would like an EPUB or a PDF file for each book donated. Please test that they work on multiple devices before uploading. Please name them with the book title. You can use an ebook conversion software like “Calibre” to convert to .epub if necessary.

Cover images:
Please include one for each book included, each named with the appropriate book title. Formats accepted are .jpg / .jpeg, .png, .webp. As they will be only for website display they should be between 400 and 800 pixels on the longest side and 72 DPI, if possible.

Detail text:
A text file (.txt, .rtf, .doc, .docx) of the description and details for each book in the file. Please include:

• book title,
• book author (or editor for anthologies),
• genre(s),
• publisher
• a short book description, e.g. back cover blurb text
• cover art credits for our alt text, where possible

Please put your name on the zip file when all files have been added to it. This will help us link your submission to the file.

Please be patient with the upload. Do not press the submit button multiple times. You should see a message below upon success or failure. Please wait for this before trying again!

The form
